Regis College is the Jesuit School of Theology at the University of Toronto (U of T) and one of North America’s Roman Catholic ecclesiastical faculties. Regis is also a founding member of the Toronto School of Theology (TST). For more information, see our About page here.

We may gather certain information, either personal or anonymous, based on your activities or data submitted while browsing our website, in the following formats.

Form information

If you submit a contact form, application form, mailing list signup form, payment/donation form, registration form, or otherwise interact with a form on our website, we collect any personal data submitted by you.

Our website uses the following tools to collect statistical information about browsing behaviour and device or browser information, in order to improve the experience of our website:

How We Use Your Information

We may use your personal information when we have a valid reason to do so. This includes:

  1. Processing and responding to a directly submitted inquiry;
  2. Processing a program application;
  3. Processing a payment or donation;
  4. Processing an event registration;
  5. Student registration, including creating records in the University of Toronto’s Repository of Student Information (ROSI) or otherwise sharing data with the University of Toronto, and creating records at the Toronto School of Theology or otherwise sharing data with the Toronto School of Theology;
  6. Administering University-related student activities and activities of student societies;
  7. Administering financial assistance and awards processes;
  8. Processing graduation and advancement;
  9. Adding you to our mailing list;
  10. Adding you to our donor database or potential donor database;
  11. Processing and reporting statistics internally and/or externally, e.g., to ecclesial authorities, the University, government agencies, the Association of Theological Schools (ATS), and other professional organizations (e.g., the Ontario Council of Graduate Studies), etc.;
  12. Personalizing services in order to provide a better user experience;
  13. Improving your website experience;
  14. Consolidating data and functions with, and collaborating with the University of St. Michael’s College (Toronto, ON), the Regis St. Michael’s Federation, and the Regis St. Michael’s Theology Foundation;
  15. Consolidating data and functions with, and collaborating with the Jesuits of Canada;
  16. Other reasonable services that allow Regis College to fulfill its mission.

In no scenario will we sell your information or otherwise use it for commercial purposes.

How We Protect Your Information

We take the greatest care in the security of your submitted information. Our website uses up-to-date Secure Socket Layers (SSL) encryption in order to protect the transmission of your data upon submission to our servers.

Where your information is stored

Depending on the type of information you have submitted, your data will either be stored securely in a database on our server; or in the database of our trusted third-party partners, if data was directly submitted by you for a particular purpose on our website. These third-party partners include:

  1. MailChimp – for email mailing list subscriptions.
  2. Google – for anonymous statistical information, and/or personalized data (for visitors from outside the EU).
  3. Stripe – for application payments submitted via credit card.
  4. NeonOne – for donations submitted via credit card.
  5. Canada Helps – for donations submitted online.
  6. The University of Toronto and the University of Toronto’s Repository of Student Information (ROSI) – for centralized University of Toronto student records and functions
  7. The Toronto School of Theology (TST) – for centralized Toronto School of Theology student records and functions.
  8. Local Regis College servers – for Regis College student records and functions.
  9. Databases of other trusted student record systems, repositories, and software used by staff of Regis College (e.g., Samson)
  10. Databases, servers, and other record systems of the University of St. Michael’s College (Toronto, ON), the Regis St. Michael’s Federation, and the Regis St. Michael’s Theology Foundation;
  11. Databases, servers, and other record systems of the Jesuits of Canada.

International Transfers

Due to the multinational locations of our servers, as well as our third-party partners, any information which you consented to provide may be transferred to a location outside of the country or region you are located in. Data will only be transferred to either:

  1. a) our servers;
  2. b) trusted third-party partners, as indicated in the above section, which we determine to have adequate transparency and security parameters in place for the protection, storage and accessibility of your data.

Data breach prevention

Our servers and website infrastructure are kept up to date and secured by a Web Application Firewall (WAF) to protect against a data breach via a third party attack.

In the unlikely event of a breach where your stored data is, or may have been compromised, we will inform you within 24 hours after becoming aware of the data breach, and provide you with our action(s) taken in order to protect your data moving forward.

Note that due to a multitude of different vulnerabilities which are present during the submission of data and are outside of our control (local computer viruses, unsecured/compromised internet connections, etc.), we cannot guarantee and are not responsible for compromised data which occurs during the submission of data and as the result of such factors outside of our control. However, once the data has been submitted and is stored in our infrastructure, we ensure that the data is responsibly held and secured.

Data Controller

The data controller is the organization/entity responsible for the protection of information on and submitted to this website. The Data Controller is Regis College.

How Long We Store Your Data For

Personal information submitted directly on our website through a form is stored indefinitely, or until manual deletion is requested.

Data collected by Google for statistical and personalization purposes is retained for 50 months before being deleted automatically. More information about Google’s data retention policy can be found here.

Accessing Your Data

If you have submitted data on our site, you may have the right to access, change or request erasion of this data at any time. Please contact us to see about requesting a file of your submitted personal data.

Our data collected via Google Analytics is anonymized and therefore not personally traceable to you unless you are signed into your account. If you have a Google account, you can request a copy of your information from Google here.
