Enrol via SWS (Acorn)

1. Contact your Program Director for completion of Academic Activities Approval form.
  • Fill in course(s) you wish to add/drop, seek approval and signature from your Program Director/Advisor (please provide your Director/Advisor a copy of your latest academic record which can be downloaded from SWS), enrol courses in SWS(ACORN). Keep the approved form in your academic profile for record.
  • (Doctoral students are not required to complete this form prior to research/thesis stage, but it will be the student’s responsibility to seek approval from your Doctoral Supervisory Committee regarding the appropriateness of the courses.).
  • All AD students, after completion of courses, please refer to “Enrolment (via administration)” for academic activity codes for continuing to research or thesis.

 

Enrolment in September session (September – December) and the following January session (January – April) courses normally opens on August 1 every year.

 

Enrolment in Summer (May – August) session courses normally opens on April 1.

2. Access ACORN with your UTORid and PIN
ACORN
  • Choose the correct program in your record which your course(s) will apply
  • Click on “Course Enrolment”/”Academics – Enrol & Manage”
  • Ascertain that you are in the current academic session (usually the default is the current session)
  • Enter the course codes, one at a time.  Use the exact course codes as indicated on the Regis timetables, or as in TST Course Listing website.
  • Follow the screen to add the meeting section. Unless otherwise indicated on the timetables, the meeting section for courses is usually LEC0101. Click on “submit” to confirm enrolment.
  • Continue until you finish enrolling in all the courses
  • In SWS(ACORN): Click on “List Courses” to verify that you have properly enrolled in the courses.
  • Pay as soon as possible as it normally will take 5 to 7 working days to complete the transaction. Courses will be automatically cancelled (FINCA) on a specific date each term if there is no payment. In ACORN: Click on “FINANCES – Invoice”
  • Remember to Logout upon completion of tasks
  • Go to Quercus, the University of Toronto’s Academic Toolbox, powered by Canvas, to check if course material is posted prior to coming for classes

More Information

Some courses may allow Waitlist. If you request it. SWS(ACORN) will automatically put your request in sequence with others who asked for being waitlisted. Check SWS(ACORN) regularly to see if you have been allowed into the course. Note that you will be responsible for all additional fees assessed once SWS(ACORN) has moved your request into an activity. Remove any waitlist request if you do not need the course.

Students are advised to budget about $360.00 to $400.00 for ten to twelve sessions in spiritual direction during the core year of the program when they enroll in the Integration for Ministry Seminars (RGP3/6687HF and RGP3/6688HS). The actual costs are negotiated directly with the spiritual director and may vary. Given the formative spirit of the Program, students may wish to consider continuing in spiritual direction beyond the core year.

Enrol via Administration

The following types of academic activities are to be enrolled through administration:
  • Reading & Research courses (BD or AD) – Approval required from Instructor, Program Director and the Dean for all Regis students
  • Research or Thesis (AD)
  • Comprehensives (AD doctoral programs)
  • MTS Synthesis Paper (MTS Program – Integrating Studies Stream)

  • MTS Summative Exercies (MTS Program – First Studies Stream)
  • Clinical Pastoral Education Coursel
  • Pastoral Counselling Education Courses

Please find due dates to submit all forms (with all required signatures) to the Registrar’s Office through the Academic Calendar.

  • Due date for submission of all forms below are the same as the due date for submission of Reading & Research Course Request Form
  • D.Min. students please check with the TST D.Min. Office for appropriate forms.
  • Reading & Research courses: Request forms for BD or AD Reading & Research courses can be downloaded from the TST Website.

Comprehensives
Comprehensive Examinations are enrolled via the TST Advanced Degree Office.

 

MTS Synthesis Paper (RGT3790Y)
MTS Program (Integrating Studies Stream) students please complete and forward the MTS Synthesis Paper Proposal Planning Form (with signatures from your Mentor, Second Reader and the MTS Program Director) to the Registrar’s Office by the due date. This form can be obtained from the Student Services Office.

Academic Activities
Approval Form

All graduate students, after completion of courses, please complete the Academic Activity Approval Form with one of the codes below. The completed form (with signed approval by the AD Director) is to be forwarded to the Registrar’s office by July 31. Enrolment for various stages will be subject to proper supervisor and/or TST approval.

Note: When you have no other academic activity during the session, or when you reach the research/thesis stage, you should enrol in an academic activity in SWS(ACORN), either to maintain registration, or to reflect the research/thesis work that you are engaged in. Check with the Registrar for the appropriate academic activity code that applies to you at that time, have it approved by the AD Director by using the Academic Activities Approval Form. Keep the approved form for record. Check your SWS(ACORN) record in a week’s time to verify enrolment.

Clinical Pastoral Education Courses

CPE course enrolment on SWS(ACORN) is to be done via the Regis College Registrar’s Office. Students are to provide the following to the Registrar’s Office at least one week prior to the start of your CPE unit. Late registration is not automatically accepted.

1. A copy of the acceptance letter from CPE indicating the level (Basic or Advanced), the name of the TST-approved CPE supervisor, the name of the hospital, and the start and end date of each unit.
2. A completed Police Form for Vulnerable Sector Screening for Field Education. The form can be downloaded here.

3. A copy of the Work/Education Placement Agreement/Post-Secondary form

Conjoint students will be expected to abide by the relevant policies and processes of the hospital (i.e., health/immunization requirements, references, requirement to sign a confidentiality agreement), the TST member college and the University of Toronto.

 

According to the Workplace Safety and Insurance Board Act (the WSIB form) with all signatures as required. Students must complete this form and obtain signature from the employer, then contact the Director of Field Education at Regis College to have it signed prior to beginning their placement. Students in programs other than M.Div. please contact your Program Director. Students should check their SWS(ACORN) records to ensure proper enrolment, and pay fees for registration.

Pastoral Counselling Education Courses

PCE course enrolment on SWS(ACORN) is to be done via the Regis College Registrar’s Office. Students are to provide the following to the Registrar’s Office at least one week prior to the start of your PCE Unit. Late registration is not automatically accepted.

1. A copy of the acceptance letter from PCE indicating level and duration of the course
2. A copy of Acadmic Activities Form signed by the student and your program director/advisor with the code of the course. It is the student’s responsibility to request the accurate course code

1. Access SWS(ACORN) (with your student number and PIN)

  • Consult your Program Director. Complete and keep the Academic Activity Approval Form with the change(s)
  • Access SWS(ACORN) (www.acorn.utoronto.ca)
  • Check that the academic program is correct
  • Click on “Manage Courses” to add or drop
  • Enter the course codes (remember to separate the last digit into the second box)
  • Click on “add” or “delete”.  A confirmation box with details will appear above “Manage Courses”
  • Click on “List Courses” to verify that you have properly enrolled in the courses.
  • Click on “Financial Accounting” and print your invoice.  Pay as soon as possible as it normally will take 5 to 7 working days to complete the transaction.
  • Remember to Logout upon completion of tasks
  • Keep the approved Academic Activities Approval form in your profile
  • Go to “Quercus” to check if course material is posted prior to coming for classes

Registration as a student depends on at least having one academic activity (= one course). If you have enrolled in only one course, and wish to change it to another, it is always better to add your course first before deleting the one already in the system, so to avoid cancellation of your registration inadvertently.

 

Note the last day to add/drop dates in the Due Dates.  You will not be able to perform any of these functions in SWS(ACORN) after the specific dates.  Late registration is not automatic and requires extra cost.

 

Note also that the last day to withdraw is not the last day of full refund.
